HR & Payroll Software in the UAE and Saudi Arabia: 2026 Buyer's Guide

By BarkahSuite Team · · 9 min read

Running payroll in the Gulf is not about tax — it is about getting WPS salary transfers on time, end-of-service gratuity right, and visa and Iqama documents renewed before they expire, for a workforce that may span ten nationalities. This guide explains what HR and payroll software should do for companies in the UAE, Saudi Arabia, Qatar, Oman, Kuwait and Bahrain, and how to choose one.

In shortGulf HR software should keep one record per employee — contract, visa or Iqama, passport, bank and salary — and run payroll, leave and end-of-service from it, in your local currency, with every salary run posted straight into your accounts.

Signs your Gulf payroll needs a system

Qatar (QAR), Oman (OMR), Kuwait (KWD) and Bahrain (BHD) follow the same pattern — wage protection, national social insurance for citizens and statutory end-of-service — with their own rates.

The Gulf HR & payroll checklist

1. One employee record, with documents and expiry alerts

Contract, nationality, passport, visa or Iqama, Emirates ID or work permit, each with an expiry date and an "expiring soon" warning before it lapses.

2. Organisation, sites and cost centres

Departments, designations, positions, org chart and headcount by site, project or branch.

3. Attendance, shifts and overtime

Office, site and camp shifts, Friday or Saturday weekends, public holidays and Ramadan hours; attendance imported from Excel or a machine export; overtime carried into payroll.

4. Leave

Annual, sick, unpaid and other leave types with yearly quotas, requests and approvals.

5. Salary structures and WPS

Basic, housing, transport and other allowances as wage types; a locked payroll period; salary slips; and a pay register you can export to Excel for your bank's WPS upload.

6. End-of-service gratuity

Calculated on basic salary by years of service, provisioned monthly so the liability is in your balance sheet, and paid through final settlement.

7. Loans and advances

Salary advances and loans with approval and instalments recovered through payroll.

8. Final settlement

Last salary, leave encashment, gratuity, loan balance and other dues on one screen.

9. Accounting by project and currency

Salaries posted to the general ledger by department and cost centre in AED, SAR or your company currency. See BarkahBooks accounting.

10. Arabic and English, security and audit

Help in Arabic and English, role-based access and an audit log of who changed salaries and when.

A 30-day rollout plan

  1. Week 1. Company, sites, departments, shifts, weekends, holidays, leave types and salary structures.
  2. Week 2. Import employees, document expiry dates, opening leave balances, loans and opening gratuity.
  3. Week 3. Parallel payroll run next to your current WPS sheet.
  4. Week 4. Lock the period, export the WPS file, post to accounts and go live.
TipLoad document expiry dates in week 2 even before payroll goes live — one avoided visa or Iqama fine usually pays for the software.

Frequently asked questions

What is the best HR and payroll software for a small company in the UAE or Saudi Arabia?

Look for cloud software that keeps employee documents with expiry alerts, runs payroll in AED or SAR, calculates end-of-service gratuity, handles leave and final settlement, and exports salaries for WPS. BarkahHR does all of these in the browser.

Does BarkahHR create the WPS salary file?

Payroll reports export to Excel in the layout you need, so you can prepare your bank's or exchange house's WPS upload from the locked payroll run.

How is end-of-service gratuity calculated?

On basic salary by years of service. In the UAE it is 21 days' basic per year for the first five years and 30 days per year after; in Saudi Arabia half a month per year for the first five years and a full month after. BarkahHR provisions it monthly.

Can it alert me before an Iqama or visa expires?

Yes. Employee documents carry expiry dates and show as expiring soon or expired, so HR can renew them in time.

Is the software available in Arabic?

The BarkahSuite help center is available in Arabic and English, and our Gulf blog is published in both languages.

This article is general information, not legal advice. Labour rules, WPS and social insurance requirements differ by country and change over time; confirm current rules with MOHRE (UAE), HRSD and GOSI (Saudi Arabia) or the labour authority in your country.
