Almost every business starts on spreadsheets — and that's the right choice at the start. The question isn't whether Excel is good, but when the time your team spends maintaining spreadsheets starts costing more than a proper system would.
What spreadsheets do well
Spreadsheets are flexible, cheap and everyone knows them. For a small team with a few dozen transactions a day, one person keeping the sheet, and no need for controls, they are perfectly fine. Keep using them for one-off analysis, budgets and what-if models even after you move to an ERP.
10 signs you have outgrown spreadsheets
- Several people edit different copies of the "same" file, and nobody is sure which is latest.
- Stock in the sheet doesn't match stock in the godown — and nobody can explain why.
- Month-end takes days because sales, purchases and payments have to be matched by hand.
- You can't say today, with confidence, how much each customer owes you.
- Purchases happen without written approval because the sheet can't enforce one.
- A formula error has already caused a wrong invoice, salary or tax figure.
- Only one person really understands the file — and the business stops when they're on leave.
- You've opened a second branch, warehouse or company and are copying data between files.
- You must issue FBR-compliant invoices, and re-typing them into another system is slowing you down.
- The owner has to call someone to know today's sales, cash or stock.
The hidden cost of "free" spreadsheets
| Hidden cost | Where it shows up |
|---|---|
| Staff time | Re-entering the same data in sales, stock and accounts sheets |
| Errors | Wrong rates, broken formulas, duplicated invoices |
| Leakage | Unapproved purchases, unmatched supplier bills, unnoticed stock loss |
| Slow decisions | Numbers available weeks after the month ends |
| Risk | One laptop, one person, no audit trail, no backup |
Spreadsheet vs ERP at a glance
| Spreadsheets | ERP | |
|---|---|---|
| Data entry | Same data typed in several files | Entered once, used everywhere |
| Stock | Updated when someone remembers | Updated with every receipt, sale and transfer |
| Accounts | Built at month-end | Posted automatically, live every day |
| Control | Anyone can change anything | Roles, approvals and an audit trail |
| Access | One file, one computer | Every authorised user, from anywhere |
How to switch without disrupting the business
- Pick a start date — ideally the beginning of a month or quarter.
- Clean your master data — remove duplicate customers and items before importing.
- Import from Excel — items, customers, suppliers, opening stock and opening balances.
- Start with the core — purchase, stock, sales and accounts. Add payroll, POS or fleet later.
- Run both for a short overlap — a couple of weeks at most, then switch the spreadsheets to read-only.

Frequently asked questions
Is an ERP only for large companies?
No. Cloud ERPs are now affordable for small businesses. The deciding factor is complexity — several users, locations, stock, credit customers or tax compliance — not company size.
Will I lose my historical data in Excel?
No. You keep the old files for reference and import opening balances into the ERP. Many businesses also import the last year's customer and supplier balances.
Can I still export to Excel from an ERP?
Yes. A good ERP lets you export reports to Excel or PDF whenever you need to analyse or share them.
