Good accounting software can still fail on a slow laptop, a dead internet line or a receipt printer that jams at 8 pm. This checklist covers both halves of the job — the software and the accounting hardware — so a small business in Pakistan can go live once and keep running.
Step 1: Cloud or desktop?
| Cloud accounting software | Desktop (installed) software | |
|---|---|---|
| Access | Any browser — office, home, branch, phone | Only on the PC where it is installed |
| Server & backups | Run by the provider | Your job — and your risk |
| Several branches / warehouses | One live set of books | Copies to merge, or a VPN |
| Hardware needed | Ordinary PCs and phones | A strong PC or server, kept running |
| Updates (tax, FBR) | Automatic | Manual installs |
For most small and medium businesses, cloud wins because it removes the most expensive hardware item — the server — and the backup risk that comes with it.
Step 2: What the accounting software must do
At minimum: chart of accounts, vouchers, customer and supplier ledgers, bank reconciliation, sales tax, and reports you can trust. We cover these in detail in what to expect from accounting software. If you trade goods, add stock, purchase and sales in the same system — see ERP for trading companies. And if you are sales tax registered, make sure it handles FBR digital invoicing directly.
Step 3: The accounting hardware checklist
| Where | What you need | Tip |
|---|---|---|
| Accounts office | Laptop/PC with 8 GB RAM or more and an SSD; a second monitor; an A4 laser printer | A second screen speeds up bank reconciliation and voucher entry more than a faster PC does. |
| Sales counter / POS | PC or all-in-one touch screen; 80 mm thermal receipt printer; USB barcode scanner; cash drawer | Use one printer model across counters so spare rolls and repairs are simple. |
| Warehouse | PC or tablet near the dock; barcode scanner; label printer if you label stock | Receive goods (GRN) at the dock, not later from paper. |
| Field sales & delivery | Android phone with mobile data; optional Bluetooth printer | Order booking and recovery on the phone stop "paper udhaar". |
| Restaurant | Counter POS plus a kitchen screen or kitchen printer | A kitchen display removes lost slips — see restaurant POS guide. |
Step 4: Internet and power — the Pakistan factor
- Two internet connections: a fixed line plus a 4G device or mobile hotspot as backup. Cloud software needs very little bandwidth, but it needs some.
- UPS on every billing PC, router and printer. Load shedding should never stop invoicing in the middle of a sale.
- Keep the router on the UPS too — a PC on battery with no internet is still down.
Step 5: Security and backups
- One user per person — never a shared "accounts" login. Give each user only the screens they need.
- Strong passwords, and sign-out on shared counter PCs at shift end.
- Approvals for payments and purchases above a limit — see the PR → PO → GRN approval workflow.
- Regular backups you can actually restore, and an audit log of who changed what.
Step 6: Add what your industry needs
- Distributors: multi-warehouse stock, van loading and route sales — inventory software for distributors — and tight credit control.
- LPG businesses: bulk kg sales, cylinder filling and empties — LPG business software.
- Transport and fleet: trips, diesel, tyres and maintenance — fleet management software in Pakistan.
- Payroll: salary, attendance and income tax deduction — see salary income tax 2026-27 and HR & payroll software.
A 30-day rollout plan
- Week 1 — Set up: company profile, chart of accounts, users and roles.
- Week 2 — Masters: import customers, suppliers and items from Excel; add opening balances and stock.
- Week 3 — Run in parallel: enter the week's real transactions in the new system alongside the old one and compare.
- Week 4 — Go live: switch fully, connect hardware at counters and warehouse, and train each user on their own screens.
How BarkahSuite fits
BarkahSuite is cloud accounting software and ERP built for Pakistan and the Gulf. It runs in any browser — no server to buy — and works with standard thermal receipt printers and USB barcode scanners at the POS. Purchase, inventory, sales, FBR invoicing, payroll, fleet and LPG modules share the same books, and the Data Import Center loads your masters and opening balances from Excel.
Frequently asked questions
What hardware do I need for accounting software?
For cloud accounting software, an ordinary PC or laptop with 8 GB RAM and an SSD, a printer, a reliable internet line with a 4G backup, and a UPS. Counters add a thermal receipt printer and barcode scanner.
Do I need a server for accounting software?
Not for cloud software — the provider runs the servers and backups. Desktop software usually needs a strong PC or server that you maintain and back up yourself.
Can accounting software work during load shedding?
Yes, if the PC, router and printer are on a UPS and you have a backup internet connection such as a 4G device. Cloud software needs very little bandwidth.
How long does it take to switch accounting software?
A small business can usually go live in about four weeks: set up, import masters and opening balances, run in parallel for a week, then switch on a month end.
