Most businesses meet FBR Digital Invoicing as a compliance problem. The smart ones treat it as a software decision. The FBR digital invoicing system you pick decides whether every invoice is sent once, from the screen your team already uses — or typed twice, rejected, and chased at month end. Here is what to check before you choose.
New to the rules? Start with our plain-language FBR Digital Invoicing guide (who must comply, sandbox and production, common rejections). This article is the next step: choosing the FBR digital invoicing software itself.
Why the software matters more than the deadline
Digital invoicing FBR-style means each sales tax invoice is reported to FBR through the PRAL Digital Invoicing API the moment it is issued, and FBR returns an invoice number and QR code. A tool that only "submits invoices" covers that one step. But an invoice also changes your stock, the customer's balance and your sales tax payable. If those live in different places, you will reconcile them by hand every month — and that is where mismatches with your sales tax return come from.
The 12-point checklist
| # | Check | Why it matters |
|---|---|---|
| 1 | Direct PRAL API integration (sandbox + production) | Invoices go to FBR from the system itself — no portal, no re-typing. Sandbox lets you test safely first. |
| 2 | Your own token per company | Each NTN/STRN needs its own token. If you run more than one company, each must submit under its own registration. |
| 3 | HS code, UoM and tax rate on every item | Wrong HS code or unit is the top rejection reason. The item master should hold them, so billing staff never guess. |
| 4 | Buyer NTN / CNIC and province on the customer | Registered vs unregistered buyers are reported differently. Missing IDs mean rejected invoices. |
| 5 | Reduced, exempt and zero-rated sales with SRO / schedule reference | Not every sale is standard rate. The system must send the right sale type for each line. |
| 6 | Clear rejection handling | When FBR rejects, staff should see the reason in plain words, fix it and resend — without creating a duplicate invoice. |
| 7 | FBR invoice number + QR printed automatically | The printed or PDF invoice must carry what FBR returned, every time. |
| 8 | Debit and credit notes linked to the original invoice | Returns and price corrections must reference the invoice FBR already accepted. |
| 9 | POS counters included | Retail and restaurant receipts are invoices too. An FBR-ready POS avoids a second system at the counter. |
| 10 | Stock and customer ledger updated by the same invoice | One invoice → FBR, stock, receivable and sales tax account. No month-end matching. |
| 11 | Sales tax register that matches your return | Your Annexure-C style sales register should come straight from the invoices FBR accepted. |
| 12 | Cloud access, backups and an audit trail | Who created, changed or resent an invoice — and when — should be one click away. |
Standalone e-invoicing tool vs an integrated system
| Standalone FBR tool / portal | Integrated ERP or accounting system | |
|---|---|---|
| Invoice entry | Typed again from your billing | Created once, sent automatically |
| Stock | Not affected | Reduced on the same invoice |
| Customer balance & credit limit | Separate | Updated instantly |
| Sales tax payable | Worked out by hand | Posted to the right account |
| Best for | A handful of invoices a month | Any business that bills daily |
If you are still on spreadsheets for billing, digital invoicing is usually the moment the cost of staying shows up. Our article on ERP vs spreadsheets explains when to switch.
8 questions to ask every vendor
- Can I test in sandbox with my own token before going live?
- Where do I see a rejected invoice, and how is it resent?
- Do POS receipts go through the same integration?
- Does one invoice update stock, customer ledger and sales tax together?
- Can I run several companies, each with its own token?
- How are credit notes for returns reported?
- What happens if the internet or FBR is down — can billing continue and sync later?
- Who supports us, in which language, and how fast?
Five mistakes that cause most problems
- Going live before cleaning the item master (HS codes, units, rates).
- Keeping the old billing software and typing invoices again into the FBR portal.
- Not training staff on rejections, so invoices pile up unsent.
- Cancelling and re-issuing instead of using a proper credit note.
- Ignoring distributors' special cases — schemes, free quantities, returns and LPG cylinder sales — until after go-live.

How BarkahSuite handles FBR digital invoicing
BarkahSuite is a cloud ERP with FBR digital invoicing built in. Each company enters its own PRAL token and registration once. Sales invoices and POS receipts are then submitted from the same screen your team already uses, the FBR invoice number and QR code are printed on the document, and the FBR status is saved with it — so a rejected invoice can be corrected and resent. The same invoice updates stock, the customer's ledger and your sales tax accounts in BarkahSuite accounting. Distributors also get route sales, van stock and multi-warehouse inventory on the same invoices.
Frequently asked questions
What is FBR digital invoicing software?
Software that sends each sales tax invoice to FBR through the PRAL Digital Invoicing API when it is issued, and prints the FBR invoice number and QR code returned by FBR. The best options do this from the same system where you bill, keep stock and keep your accounts.
Is the FBR digital invoicing system free to use?
FBR/PRAL provide the API and a basic solution. Integrated software is a separate cost, but it removes double entry and keeps stock, ledgers and sales tax in step with what FBR receives.
Can one software handle several companies?
Yes, if each company can store its own token and registration details. In BarkahSuite each company — and each subsidiary with its own NTN — submits under its own registration.
Do POS receipts need to go to FBR too?
Where your business falls under FBR’s POS or digital invoicing rules, counter sales must be reported too. A POS connected to the same integration avoids running two systems.
